Recruiting Operations Specialist

About this role

Support recruiting operations by managing requests, ATS configuration, access, data quality, and reporting. Build workflows and AI-powered tools, document process changes, and help deliver recruiting programs and smaller operations projects.

The team

Talent team; reports to the Recruiting Operations Lead and works with Recruiting Operations teammates.

Stack

What you'll do

• Triage recruiting requests, resolve or route them, and follow up with requesters.
• Configure ATS jobs, interview plans, interviewer assignments, and access.
• Maintain recruiting data quality and align open roles with the headcount plan.
• Prepare recruiting reports and keep recurring reporting accurate.
• Build workflows, automations, and AI-powered tools to reduce manual work.
• Create process guides and support recruiting program rollouts.

What we're looking for

• At least 1 year in recruiting coordination or recruiting operations.
• Hands-on ATS administration or configuration experience; Ashby preferred.
• Able to configure jobs, stages, interview plans, and forms with little direction.
• Experience preparing recruiting data or maintaining reports.
• Experience building an AI workflow, custom GPT or Claude Project, or small automation.
• Strong organization, triage judgment, spreadsheet skills, and written communication.
• Able to work from the San Francisco office Tuesday through Thursday.

Nice to have

• Experience training others on tools or processes.
• Experience in technical or AI/ML recruiting.
